Privacy Policy
Effective Date: May 26, 2026
The short version. Each item links to the full section below.
- Your prompts & selected text
- Sent to our servers and AI providers only to fulfill your request. Not stored after the request completes.
- Clipboard data
- Read in-memory on your device to power Quick Actions. Never uploaded unless you explicitly trigger an AI action on it.
- Email & document content
- Only the text you explicitly select or dictate is processed. We do not read your inbox, monitor keystrokes, or scrape pages.
- AI model training
- No. Your content is not used to train our models, and we configure our AI providers, where supported, to do the same.
- Retention
- Your text is processed for your request and not retained for long-term storage afterwards. Account and billing data are kept only as long as necessary.
This Privacy Policy explains how KeyShift AI collects, uses, and protects your information. We've written it to be specific about the data categories that matter most for a productivity tool that operates at the operating-system level: clipboard contents, prompts, and the text you draft in apps like Gmail and Outlook.
1. Information We Collect
We collect two categories of information.
Account & service data
- Email address (for account creation and login)
- Payment information (processed by our payment provider — we do not store full card numbers)
- Usage metadata (credits used, feature counts, error reports)
- Device metadata (operating system version, app version, locale)
Content you choose to process
KeyShift only processes text after you explicitly trigger an action. The categories below are described separately so you can see exactly what happens to each.
- Selected text — what you highlight before pressing the KeyShift shortcut.
- Custom prompts— the instructions you type in Quick Actions (e.g. "summarize this in three bullets").
- Clipboard contents — read in memory on your device when you trigger paste-based actions.
- Voice input — audio captured while dictating, transcribed to text either on-device (via OS speech APIs) or via our speech provider, then handled like any other selected text.
2. How Your Prompts & Text Are Processed
When you trigger an action (Fix grammar, Translate, Draft reply, custom prompt, etc.), your selected text and any custom prompt are transmitted over TLS to our backend and forwarded to a third-party AI provider for processing. The response is returned to your device and shown in the KeyShift result window or pasted into your app.
We do not retain your text content after the response is delivered. Limited, anonymized service logs may be kept for a short period for abuse prevention, debugging, and security.
3. Clipboard Data
A few features — paste-based Quick Actions and clipboard history — work with your clipboard. We keep that private:
- Clipboard contents stay on your device unless you run an action on them, in which case that text is processed like any other request.
- We do not monitor or upload your clipboard in the background.
- Clipboard history (if enabled in settings) is stored locally on your device only.
4. Emails & Other App Content
KeyShift works inside apps like Gmail, Outlook, Slack, Notion, and your editor. We want to be explicit about what that does and does not mean:
- We only process the text you explicitly selector the draft you're writing when you trigger an action.
- We do not log into your email or messaging accounts and do not read content you haven't chosen to act on.
- We do not monitor keystrokes, record screens, or scrape pages in the background.
5. AI Model Training
We do not use your content to train AI models. That applies to prompts, selected text, clipboard contents, voice transcripts, and outputs.
Where supported by the third-party AI providers we use, we configure their APIs so that content submitted on your behalf is not used to train their models. Provider terms evolve; for the current list of providers and their data-use terms, contact hello@keyshift.ai.
6. How We Use the Data We Do Collect
The account and usage data described in Section 1 is used to:
- Provide and operate the service
- Process payments and manage your subscription
- Diagnose errors and improve performance (aggregated / anonymized where possible)
- Prevent abuse and enforce our terms
We do not sell your personal data. We do not share your text content with advertisers, data brokers, or any third party other than the AI providers required to fulfill your request.
7. Data Retention
We keep data only for as long as is necessary for the purposes described in this policy, or as required by law.
- Prompts, selected text, clipboard data, voice transcripts: processed for your request and not retained for long-term storage afterwards.
- Service logs: kept for a limited period in an anonymized form, used only for abuse prevention, debugging, and security.
- Account & billing data: kept while your account is active, plus any period required for legal, tax, or accounting compliance.
- When you delete your account: personal data is removed within a reasonable period, except records we are legally required to keep.
8. Security
All data is transmitted over TLS. We apply reasonable technical and organizational safeguards (least-privilege access to systems, encrypted storage of account data, regular dependency updates) to protect your information. No system can guarantee absolute security; if you have a security concern please write to hello@keyshift.ai.
9. Third-Party Services
KeyShift relies on a small number of carefully selected third-party service providers, including:
- Payment processors — handle billing; we do not see full card details.
- AI providers — process your text to generate responses per Section 2.
- Cloud hosting & content delivery — run our backend and serve the website.
- Error monitoring — receives anonymized crash and diagnostic data so we can fix bugs.
These providers process data only on our behalf, under contractual data-protection terms, and do not receive your account credentials. A current list of subprocessors is available on request.
10. Your Rights
Depending on your jurisdiction (including under laws such as GDPR and CCPA), you may have rights regarding your personal data, such as:
- Access to the personal data we hold about you
- Correction of inaccurate information
- Deletion of your account and associated data
- Objection to or restriction of certain processing
To exercise any rights available to you, contact hello@keyshift.ai. We will respond within the timeframe required by applicable law.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be announced in the app and via email to active accounts. Continued use of the service after an update means you accept the updated version.
